Third-Party Services

We use HIPAA-compliant platforms for scheduling (Acuity), patient records and billing (Tebra/Kareo), and supplement dispensing (Fullscript). We do not sell your personal information to third parties.

Data Security

We implement reasonable safeguards to protect your information. No internet transmission is 100% secure. Please do not transmit sensitive health information via unencrypted email.

Telehealth Consent

By scheduling a telehealth visit, you acknowledge:

  • Telehealth services are conducted via secure, HIPAA-compliant platforms
  • You are responsible for a reliable internet connection and a private location during visits
  • Telehealth is not appropriate for emergencies — call 911 or go to the ER
  • You attest that during all telehealth encounters you are physically located in Colorado or Connecticut
  • You may withdraw consent for telehealth at any time and request in-person care when available

HIPAA Notice

Encompass Care complies with HIPAA. Your protected health information will only be used as permitted by law — for treatment, payment, and healthcare operations, or with your written authorization.

Your rights include accessing your health records, requesting corrections, and filing a privacy complaint. A full Notice of Privacy Practices is available upon request.

The secure Tebra patient portal is the preferred method for all non-urgent medical communication.

Financial Policies

By scheduling with Encompass Care, you agree to our financial policies as outlined in your signed patient intake agreement. Key terms:

  • Payment is due at the time of service
  • A $50 no-show and late cancellation fee applies (not covered by insurance)
  • Self-pay functional medicine programs are not billed to insurance
  • Specialized functional labs (GI-MAP, DUTCH, etc.) are self-pay, billed directly by the laboratory
  • Administrative forms completed outside a scheduled visit may incur a fee starting at $25
  • Medicare and Medicaid patients will not be charged fees prohibited by federal or state law
